Please take time to read and understand the following general club polcies. These make up part of our terms and conditions upon joining.

COST INFORMATION

SESSION FEES

Upon joining | Class fees are issued via invoice for your first month upon joining and are payable by card only, details will appear on your invoice which will be emailed to you. Failure to pay fees within the allocated time frame will result in loss of a child’s place within the class and will result in your child’s space being allocated to someone on our contact list.

After your first month | Fees are then charged by direct debit on a pro rata basis. Direct debits are payable on the first of every month to secure your child’s place. Any failed direct debits will incur a late fee charge payable by invoice.

All fees are due on demand and are non-returnable. Fees are payable in advance. Fees must be settled in full by the due date. Failure to pay fees within the allocated time frame will result in loss of a child’s place within the class and will result in your child’s space being allocated to someone on our contact list.

VIRTUE ANNUAL MEMBERSHIP

Virtue annual membership is required for gymnasts who attend all our structured classes this is charged at:

£15 per gymnast

This annual charge will be issued upon joining and every January (Jan – Jan) and will be issued via invoice which is payable by card payment only. Sibling discount will be applied to Virtue annual membership every January – second child 10%, third child 15%, fourth child 20%. Failure to pay fees within the allocated time frame will result in loss of a child’s place within the class and will result in your child’s space being allocated to someone on our contact list.

BRITISH GYMNASTICS ANNUAL INSURANCE

Insurance is required as follows:

Bronze £22 – for all children in our general classes

Preschool £15 – for all Preschool independent classes

This will be an annual charge (Oct – Sep) and will be due every October and upon joining.

Members will be required to complete and pay for British gymnastics (BG) membership online directly with BG. There will be an email issued explaining the process when required or click here to enrol/renew BG membership.

CLASSES

CANCELLATION OF CLASSES

We will inform you if a class is cancelled and will endeavour to put on a club make up class. If you are unable to attend a ‘ club make-up class’ a refund will not be applicable. If circumstances that are out of our control (such as a venue cancelling due to adverse weather, a power cut etc) no refund or make-up class will take effect.

Please note all fees are non-returnable.

MAKE UP CLASSES

As we are open for 46 weeks of the year, to accommodate any missed sessions we offer all general members the chance to attend 2 make up classes a year under certain circumstances. Parents can book these via their parent portal app.

  • We advise to not book make-up sessions during Virtue award scheme weeks
  • Unused make-up sessions can not be rescheduled, refunded or cancelled
  • Make-up sessions are non-transferable and only an option for current full time members (not PAYG sessions)
  • Make-ups are subject to availability and are not a given right as part of the membership

IN THE EVENT OF A LOCKDOWN

In the event of a government forced lockdown all classes will transfer to Zoom within the current timetable. Direct debits will resume as normal.

PUNCTUALITY

Coaches reserve the right to refuse admittance to children arriving late on grounds of safety after 15 minutes.  The first part of each class is spent on warm up and stretch, this is vital for the health and safety of our gymnasts both physically and mentally.

Allowing a child to participate without having a suitable warm up contravenes British Gymnastics Policy and therefore renders the clubs and the individuals insurance invalid. 

Also please be reminded to drop off on time not early as children will not be allowed to remain on site until their session begins.

CANCEL VIRTUE MEMBERSHIP

You can cancel your child’s Virtue membership at any time by written notice by email direct to the office. We advise giving a minimum of 4 weeks’ written notice. Any outstanding fees must be paid before your cancellation is accepted, the office will cancel your direct debit at their earliest convenience.

Please note Direct Debit payments are automatically debited and once pending we are unable to cancel. No membership fees will be refunded for the month in which you cancel. We will notify you of the date of your child's last payable class, and fees will be payable whether or not they attend classes during the notice period.

PRIVACY

MEMBERS’ DETAILS

Virtue will retain members’ details on a secure confidential database for administration and in-house mailings. Members have a right of access to any information held on them and additional rights under the Data Protection Act 1998. Members details will be kept for a minimum of 6 years for accounts purposes.

PHOTOGRAPHY

No photography, videoing or recording of training sessions are permitted by parents. With parental consent the Club may use photographs or video recordings of gymnasts for training, coaching or publicity purposes only.

Photography policy

Failure to adhere to any policies will result in disciplinary action and may lead to suspension or exclusion from the club. Virtue reserve the right to remove or refuse membership to any one who fails to adhere to our policies.
